3-inch thermal receipt printer

Scanner + printer

Short answer

A barcode billing setup is a scanner, a thermal receipt printer and billing software, on a PC or laptop. At one Indian maker’s store in October 2026, a wired scanner was ₹1,899 and a 3-inch receipt printer from ₹7,769, so about ₹9,700 before the computer and software.

Key points
  1. Barcode billing needs three things: a scanner, a receipt printer and billing software on a PC, laptop or phone.
  2. A wired 1D scanner reads the barcodes on packets; a 2D scanner also reads QR codes and phone screens.
  3. 80 mm (3-inch) printers suit a busy counter; 58 mm (2-inch) ones are smaller and cheaper.
  4. Items without a barcode get your own labels from a label printer; a GS1 number is needed only for your own brand.

You have seen it at the supermarket: a beep, and the item is on the bill with the right price. Now customers expect the same speed at your shop, and you are wondering what a barcode billing machine costs, and whether it is worth it for a small shop.

This guide breaks the “machine” into its parts, explains which kind of each to buy, and gives real prices from one maker’s own online store on 18 October 2026. Prices change with sales and models, and other brands may cost less or more, so use them as a guide, not a quote.

How barcode billing works

Most packed goods already carry a barcode printed by the maker: the stripes with a 13-digit number on a biscuit packet or a soap box. When you add an item to your billing software once, you scan its barcode and type its name and price. From then on, a scan finds the item instantly.

At the counter the steps are simple: scan each item, the software adds the price and GST, the customer pays, and the printer gives the bill. The stock goes down by itself. No typing, no wrong prices, and the queue moves faster.

A “billing machine” is not one machine. It is a scanner, a printer and software, joined by a computer.

Barcode scanner: which one to buy

The simplest scanners plug into USB and act like a keyboard: a scan “types” the number into the bill. Almost every billing program works with them.

  • 1D scanner: reads the normal stripe barcodes on packets. Enough for most kirana and grocery shops.
  • 2D scanner: also reads QR codes and barcodes shown on a phone screen. Useful for loyalty cards, coupons or QR-coded items.
  • Wireless or Bluetooth: lets you scan a heavy rice bag or a carton without lifting it to the counter.

Prices on the TVS Electronics store on 18 October 2026 (sale prices that day):

ScannerPrice
Wired 1D (USB)₹1,899
Wireless (cordless)₹5,299
Wired 2D₹7,049
Bluetooth 2D₹8,999

Thermal receipt printer: 2-inch or 3-inch

Thermal printers print with heat on special paper, so there is no ink or ribbon to buy, only paper rolls.

  • 80 mm (3-inch): a wider bill that fits item name, quantity, rate and GST clearly. The usual choice for a busy counter.
  • 58 mm (2-inch): smaller and cheaper, often Bluetooth, good for a phone or a small counter with short bills.

On the same store, 3-inch receipt printers were listed from ₹7,769 to ₹11,009, and a cash drawer at ₹4,999 (out of stock that day). A cash drawer usually plugs into the receipt printer, which opens it after a cash sale.

₹1,899 for a wired barcode scanner

₹7,769 for a 3-inch thermal receipt printer

₹12,899 for a 4-inch barcode label printer

Thermal paper fades with heat and time. Keep a digital copy of every bill in the software, and don’t rely on the paper for your records.

Items without a barcode: loose goods and your own labels

Rice, dal, sweets, vegetables, stationery and fancy items often have no barcode. You have three choices:

  1. Search by name: type a few letters in the software. Fine for a handful of loose items.
  2. Print your own labels: a label printer prints a barcode and price on a sticker for each item or bag. Your own in-shop codes work only in your shop, which is all you need.
  3. Weigh and bill: for loose goods sold by weight, a scale connected to the software, or a quick “weight × rate” entry.

Take Lakshmi, who runs a fancy and stationery store in Salem. Half her items are small things with no barcode: hair clips, pens, gift items. A wired scanner (₹1,899), a 3-inch printer (₹7,769) and a 4-inch label printer (₹12,899) come to ₹22,567 at the prices above, plus a computer and software. After one weekend of labelling, every item scans.

Your own brand is different. If you pack your own pickle or masala and want to sell it in other shops or online, those shops will ask for a real product barcode. That number comes from GS1 India, which charges a registration fee and a yearly fee based on your turnover.

Barcode billing in Elathi SmartPOS

Our Elathi SmartPOS works with scanners that type like a keyboard (most USB and wireless ones), 58 mm and 80 mm thermal printers, any A4 printer set up in Windows, and cash drawers connected to the receipt printer. It prints barcode and price labels for items without one, sells loose items by weight with a Weigh button, and keeps billing when the internet is off. Products and opening stock can come in from an Excel file, so you don’t type a thousand items by hand.

Questions

What is the price of a barcode billing machine for a shop?

A basic setup is a scanner and a receipt printer, about ₹9,700 at one maker’s store on 18 October 2026 (₹1,899 + ₹7,769), plus a PC or laptop and billing software. A label printer and cash drawer add more.

Can I get a billing machine for a shop under ₹5,000?

Not a full counter. A wired scanner (from about ₹1,900) with a free phone billing app and WhatsApp bills can start under ₹5,000, but a receipt printer and a PC take the cost higher.

How does barcode billing work?

Each product’s barcode is saved once in the billing software with its name and price. At the counter, a scan finds the item and adds it to the bill with GST, and the stock goes down by itself.

Which is better: a 2-inch or 3-inch thermal printer?

A 3-inch (80 mm) printer gives a clearer bill with room for GST details and suits a busy counter. A 2-inch (58 mm) printer is smaller and cheaper and works well with a phone or for short bills.

How do I make barcodes for my own products?

For use inside your shop, print your own barcode labels from your billing software with a label printer. To sell your own brand in other shops or online, register with GS1 India for official product barcode numbers.

Does a barcode scanner work with a mobile phone?

Yes. Bluetooth scanners pair with phones, and many billing apps can also scan with the phone’s camera. For a busy counter, a USB scanner on a PC is faster.

Do I need internet for barcode billing?

Not for the scanning itself. Whether billing keeps going when the internet drops depends on your software: some PC programs bill fully offline, while web software needs a connection for every bill.
