Short answer

To use ChatGPT for business, give it your facts, the job and the format in one message, then edit what it writes. The free plan is enough for most small businesses; ChatGPT Business ($20 a user a month billed yearly on OpenAI’s US page) adds a shared workspace and no training on your business data by default.

Key points
  1. A good prompt has three parts: your facts, the job, and the format you want back.
  2. Paste real prices, dates and names into the prompt; ChatGPT does not know your business.
  3. Ask for 3 options, pick one, then ask for changes: it is faster than asking for a perfect answer.
  4. The free plan covers most daily writing; Business adds a team workspace and no training on your data by default.
  5. Gemini, Claude and Copilot take the same prompts; choose the one that fits the apps you already use.

You have tried ChatGPT once or twice. You asked it to “write a post for my shop”, got something long and generic, and went back to typing replies yourself. That is the usual first try, and the problem is not the tool. It is the instruction.

This guide shows how to use ChatGPT for business in a way that saves real time: a simple shape for every prompt, twelve prompts you can copy, the plans and what they cost today (checked 19 Oct 2026), and a fair word on Gemini, Claude and Copilot, which take the same prompts.

How to use ChatGPT for business: the three-part prompt

ChatGPT knows a lot about the world and nothing about your shop. So every good prompt carries three things:

  1. Your facts. Prices, dates, product names, your town, who the customer is.
  2. The job. Reply, offer, quotation, summary, plan.
  3. The format. Length, language, tone, a table, a list, “three options”.

Compare “write a Diwali post” with “We are a sweets shop in Salem. Diwali gift boxes: 500 g ₹450, 1 kg ₹850, free delivery within 5 km till 31 Oct. Write 3 short Instagram captions in English and Tamil, friendly, no hashtags.” The second one gives you something you can post after a quick read.

Ask for three options, pick the closest, then say what to change. Two short rounds beat one long prompt.

ChatGPT prompts for business you can copy

Change the words in square brackets, then paste. These work in ChatGPT, Gemini, Claude and Copilot alike.

Spreadsheet helpIn Google Sheets, column B has dates and column C has amounts. Give me a formula for this month’s total.

ChatGPT can state wrong facts with full confidence. Check every price, date, law and figure before it reaches a customer, and never let it guess your rates.

ChatGPT for business pricing: free, Go, Plus or Business?

OpenAI’s plan page, checked 19 Oct 2026, lists these US-dollar prices. In India the site shows its own rupee prices, and plans change often, so check before you pay.

PlanPrice on the US pageGood for
Free$0Most daily writing; has limits
Go$8 a monthOne person who hits the free limits
Plus$20 a monthHeavy daily use, more features
ProFrom $100 a month ($100, $200 or $500)Very heavy use of the strongest models; few small businesses need it
Business$20 a user a month billed yearly, or $25 monthly (2+ users)A team, shared workspace, admin controls

Is ChatGPT Business good for a small business? It makes sense when two or more people use it daily and you share customer or company documents with it. OpenAI says Business does no training on your business data by default. A single owner writing posts and replies rarely needs more than Free or Go.

ChatGPT vs Gemini vs Claude vs Copilot

All four take the prompts above. None is best at everything, so pick by the tools you already use.

  • ChatGPT: the widest set of features, and the one most staff have heard of.
  • Gemini: built into Google’s apps; good if your business runs on Gmail, Docs and an Android phone. Google’s AI plans add more use.
  • Claude: strong with long documents and careful writing; its Team plan also says no model training on your content by default.
  • Copilot: free for chat; Microsoft 365 Personal puts it inside Word and Excel, handy if your accounts live in Excel.

Try the same prompt in two of them for a week and keep the one whose answers you edit least. Our guide to AI tools for small business covers design and WhatsApp tools too.

One week with ChatGPT: Karthik’s hardware shop in Salem

Karthik runs a hardware and paint shop in Salem with three staff. As an example, here is how one week went when he used the free plan with the prompts above.

12 prompts saved in a note on his phone

3 options asked for every time, then one picked

0 prices typed by ChatGPT; he pasted his own rate list

On Monday he pasted his rate list once and asked for a quotation format with a total and a GST line; he reused it all week. On Wednesday a contractor sent a long email about a delayed delivery, and ChatGPT turned it into four points and a short reply. On Saturday he asked for six post ideas for the coming week, took the photos himself and used the captions after small changes. He kept a note of the prompts that worked, which is the habit that saves the most time.

Questions

How do I use ChatGPT for my business?

Give it your facts, the job and the format in one message: for example your prices and dates, “write a WhatsApp reply”, and “3 short options in Tamil”. Read what it writes, change what sounds wrong, and save prompts that work so you can reuse them.

Is ChatGPT free for business use?

Yes, the free plan can be used for business writing, with daily limits. Paid plans add more use and features; Business adds a shared workspace and no training on your business data by default.

What is the difference between ChatGPT Plus and Business?

Plus is for one person ($20 a month on OpenAI’s US page). Business is for two or more users, $20 a user a month billed yearly or $25 monthly, with admin controls, a shared workspace and no training on your business data by default.

Which is better for business, ChatGPT or Gemini?

Both write well. Gemini fits best if your business runs on Gmail, Google Docs and Android; ChatGPT has the widest set of features. Try the same prompt in both for a week and keep the one you edit least.

What are good ChatGPT prompts for business?

Prompts that carry your real facts and ask for a clear format: a customer reply with your prices, three festival captions, a quotation table from your rates, a 5-point summary of a long email. The table in this guide has twelve to copy.

Can I trust ChatGPT’s answers?

Not without checking. It can be wrong about prices, laws and dates while sounding sure. Use it for drafts and summaries, and check every fact before it reaches a customer.

Is my business data safe in ChatGPT?

Share only what the job needs. Don’t paste customer phone numbers, bank details or ID numbers into a free account. OpenAI says the Business plan does not train on your business data by default; check the data settings of whichever plan you use.
